Byron Bay Coffee Company is seeking an energetic, organised and customer-focused individual to join our team in the full-time position of Client Services & Office Coordinator.
This is a versatile, on-site position based at our Newrybar roastery and plays an important role in keeping our day-to-day office and client operations running smoothly.
You will be one of the first points of contact for our wholesale, café and online customers, assisting with orders, account enquiries, equipment servicing coordination and general customer support. You will also take ownership of several key administrative functions, including accounts receivable, supplier invoice management and our online ordering and business systems.
We are looking for someone who is highly organised, confident communicating with
customers, comfortable managing multiple priorities and enjoys being part of a busy, close-knit team.
Previous café, barista or coffee industry experience is strongly preferred, as an
understanding of café operations and coffee service will be valuable when supporting our wholesale customers.
KEW RESPONSIBILITIES
This role is responsible for, but not limited to:
- Being a first point of contact for customers via phone, email and front of house
- Receiving, processing and coordinating customer orders
- Responding to general customer and account enquiries
- Managing accounts receivable and customer account administration
- Managing supplier invoices, including processing through Xero and confirming goods have been received
- Managing and maintaining key online platforms and systems, including
Ordermentum - Coordinating equipment service bookings and customer service requirements with
our technical and coffee teams - Supporting general client account management and maintaining strong customer
relationships - Assisting with incoming wholesale and product enquiries
- Processing and managing online orders
- Assisting with website and e-commerce administration
- Providing general office and administrative support
- Providing support to the management and marketing teams
- Working closely with our production and dispatch team to ensure customer requirements are communicated and coordinated
SKILLS & EXPERIENCE
To be successful in this role, you will ideally have:
- A minimum of 2 years' experience in administration, client services, office
- coordination or a similar role
- Previous café, barista, roastery or coffee industry experience strongly preferred
- Excellent customer service and relationship-building skills
- Strong administrative and organisational capabilities
- Experience with accounts receivable and general accounts administration
- Confidence working with accounting, e-commerce and online ordering systems;
- experience with Xero, Ordermentum and Shopify would be highly regarded
- Strong computer skills, including Microsoft Office
- Excellent verbal and written communication skills
- Strong attention to detail and the ability to work to deadlines
- The ability to work autonomously while also contributing to a close-knit team
- The ability to adapt to changing priorities in a busy environment
- Initiative, problem-solving skills and a strong work ethic
- A current Australian driver's licence
- Full working rights in Australia
- Availability Monday to Friday, 8am–4pm
